Run a golf club without a pro shop to run it for you

The roster, the categories and the committee

Import the roster from your association’s standard member export; likely duplicates are flagged before they split a member’s scoring record. Define your own membership categories (full, social, junior, senior, life), each with an annual dues amount. Sections are how the club plays: a men’s, women’s, senior and junior section can each have its own outings and standings, and a member can belong to more than one. Every member carries a handicap index, revised by the club’s handicap engine from the rounds played; a handicap service sync exists for linked clubs where supported.

A join code or QR code takes a member’s friend straight to the club’s join page, and a join request from the public site lands in the committee’s queue to review, match against the roster and approve. Committee roles are set on the club, so members contact the handicap secretary or the captain without anyone publishing a personal email. Announcements email on publish; messages go to the whole club, a section or a category, now or scheduled.

A committee-run club: ninety members, three courses

Four categories, three sections, a monthly medal, a summer knockout and a two-round club championship. Every step is one the product runs today.

January

Import the roster, resolve the flagged duplicates, create the four categories with their dues amounts, set the Men’s, Women’s and Senior sections, and run Open renewals so every active member has a dues line.

February

Build the calendar: twelve medal outings across the three courses, a singles knockout with automatic seeding, and a two-round club championship. Publish the join code for members to share.

Each medal

Registration from phones, groups from the entry list, the tee sheet to the host pro shop at 06:00, phone scoring, the month’s knockout matches assigned to the outing. Close out from the clubhouse and the order of merit and the Senior standing move.

September

The championship’s two rounds run as two outings with the competition assigned to both; the bracket poster goes on the notice board for the knockout final.

November

Print the annual meeting sheets from the Report Center, then roll the season over.

On the day: the pro shop gets the sheet, the members get the phone

The club plays at a course it does not run, so the course needs to know who is coming. The tee sheet is emailed to the host pro shop at 06:00 on the day, and the group scorecards, attendance sheet and player list print from the Report Center for the starter’s table. Parful does not book the tee time; it sends the draw for a booking the club has made.

One scorer per group enters scores in the phone browser from a QR code, PIN or link, with no app and no account. Gross, net and Stableford resolve from the same card, and the live leaderboard runs on phones and on the clubhouse television. The day’s competition, a medal, a championship round or a foursomes pairs event, is assigned to the outing and resolves from the same cards.

The championship, the standings and the member site

The club championship is a competition type of its own, with the rest of the competition system behind it: stroke play and Stableford majors, singles and doubles match play with single and double elimination brackets, seeding and byes, round robin, flights, walkovers and concessions, a public bracket page and a printable poster with a QR code. A match assigned to a scored outing resolves from its cards; a match played on a Tuesday evening is entered as a result.

Close-out is one step: prizes resolve, standings move, statistics record, handicaps revise and the public results page goes live. The season is a set of standings, an order of merit, a Stableford league, an eclectic or ringer, each scoped to the whole club or a section.

Dues, the membership year and the limits

When the year rolls over, Open renewals writes one dues line per active member from their category’s amount, reminders go out at fourteen days, three days and overdue, and the roster shows who has paid. Dues are tracked, not collected: the treasurer takes the money the way the club already does. Outing entries can be paid through the club store, which is in beta.
